Job Description:
We are looking for a dynamic and proactive Event Organizer Assistant to join our team and ensure the smooth execution of our corporate hockey events. Your main responsibility will include coordinating the event schedule, track results, manage communication with participating teams, setting up and taking down event materials, and ensuring accurate data entry.
Main Responsibilities:
- Calendar Management: Create, organize, and oversee the event calendar to maintain smooth operations and adherence to schedules.
- Results Tracking and Data Entry: Accurately record event results in our system, ensuring all information is promptly updated.
- Event Setup and Cleanup: Set up, organize, and dismantle event equipment as needed, and ensure the cleanliness and orderliness of the event area.
- Proactive Communication with Teams and Social Media Updates: Act as a primary contact, inform and guide teams, anticipate their needs, and respond to their questions. Publish live updates and posts on social media during events to engage audiences.
- Anticipation and Responsiveness: Proactively make any necessary adjustments to ensure each event’s success.
Profile Requirements:
- Excellent Communication Skills: Ability to convey information clearly and engage comfortably with various stakeholders.
- Attention to Detail and Accuracy: Meticulous and reliable in data entry and task follow-up.
- Languages: Fluency in English is required, along with either French or Dutch (bilingualism is a strong asset).
- Mobility: A valid driver’s license is required, and access to a car is highly appreciated.
- Proactivity and Initiative: You are capable of taking the lead to ensure the smooth flow and success of each event.
- Availability: You must be available for 10 Thursdays and Fridays between 17:00 and 00:30 from late May to the end of June.
